FreshBooks Data Migration Checklist

Preparation tips for your accounting migration

Consider the following points while planning your data import to FreshBooks:

  1. The original invoice number can be migrated in a custom way, but if it consists only of digits (letters cannot be inserted). If there are letters in the invoice number on the source, they can be skipped or replaced, for example, instead of inv-0433, it can be migrated in this format 0000433.
  2. Recurring invoices can’t be migrated automatedly.

Starting a free Demo Migration

Before proceeding with a Full Data Migration, conduct a Free Demo first. The Migration Wizard imports a small quantity of data to allow you to preview how it looks on FreshBooks and ensure a smooth transfer of your accounting data.

1. Collect access credentials

When initiating a Demo Migration, you will need to provide access credentials to your source accounting platform and FreshBooks.

To connect FreshBooks with Migration Wizard, you need to undergo OAuth authentication. Once you are connected, you can choose the needed businesses and default expense category where you want to migrate accounting data.

2. Run a Free Demo Migration

During the Free Demo, a source data sample will be transferred from your current platform to FreshBooks. You have the option to edit your settings and restart the Demo Migration. However, note that the results will be the same if you run multiple Demos with the same parameters.

  1. Log in to the Migration Wizard or create an account.
  2. Connect your source and target accounting systems.
  3. Choose the entities you want to import to FreshBooks.
  4. Click Continue to start the Free Demo Migration.
  5. Review the data migration results.
  6. Select a support package that meets your needs.

3. Review the migration results in FreshBooks

Once the Free Demo has finished, check a table with the results for

  • all available records
  • migrated records
  • failed records
  • skipped records

After completing the migration process, obtain reports on migrated, failed, and skipped records for review. Copy the record ID from your source platform and FreshBooks to compare them. Thoroughly inspect each record before proceeding with the Full Data Migration.

Note: data that doesn’t migrate during the Demo Migration will not be transferred during a Full Data Migration.
