FreeAgent Data Migration Checklist

Relokia's Migration Wizard can facilitate a seamless process if you transfer your data to FreeAgent from a different platform. Let’s take a look at what types of data can be imported to FreeAgent and what necessary pre-migration steps you need to take.

Preparation tips for your accounting migration

While planning your data import to FreeAgent, pay attention to the following peculiarities:

  1. If a contact does not have a company name listed, our Migration Wizard will migrate the first_name and last_name fields to the invoice where the company name should normally appear. If the contact only has the first_name field, the last_name field will be migrated as "Empty" because it is a required field.
  2. By default, the Migration Wizard doesn’t migrate VAT separately. Instead, our automated migration tool includes it in the line item price, so there is no separate tax after the Full Data Migration. However, the invoice amount will remain the same.

Starting a Free Demo Migration

Before proceeding with a Full Data Migration, test the migration service and your settings in a Free Demo. The Migration Wizard allows you to import a small amount of data to get a feel for how your data will appear in FreeAgent.

1. Collect access credentials

To set up your Demo Migration, you will need admin access credentials to your source accounting platform and FreeAgent. To connect FreeAgent, go through the OAuth authentication with your email address and password.

2. Run a Free Demo Migration

Take advantage of a Free Demo to move a sample of data and preview how it will appear in FreeAgent. You can also modify your data migration settings and re-run the Demo Migration to suit your business requirements better.

  1. Sign into the Migration Wizard or register an account.
  2. Connect your source and target accounting platforms.
  3. Select the data you want to import to FreeAgent.
  4. Click "Continue" to initiate a Free Demo Migration.
  5. Review the FreeAgent migration results.
  6. Choose a suitable support package.

3. Review the migration results in FreeAgent

As soon as your Free Demo is complete, review a report table with the following columns:

  • all available records
  • migrated records
  • failed records
  • skipped records

To ensure a successful Full Data Migration, carefully review the migration results.

  • Download reports that list the migrated, failed, and skipped records.
  • Compare the record IDs on both the source platform and FreeAgent to ensure that all records have been accurately migrated.
  • Take the time to examine each record closely before proceeding with the Full Data Migration.
Note: any data that wasn’t migrated during a Demo Migration will not be imported during the Full Data Migration.
